The Challenge
An annual global sales conference hosted in Las Vegas had over 16,000 attendees, with people traveling in from 89 countries. As health and safety practices continue to change, it was important to not only track vaccine status but also add a COVID testing requirement pre-entry. Attendees would only be allowed to pick up their badges within 24 hours of providing a negative test result. This created both logistical and financial challenges associated with testing so many people in real time. Further, strict privacy rules required medical data and status was not viewed by anyone within the organization.

The Solution

The Benefits
With no app to download, guests were able to register into CLEARED4’s portal easily via computer, phone, and tablet. After the initial invitation from the company, more than 16,000 attendees registered well ahead of the event within 24 hours of badge pick-up. Attendees would upload pre-approved antigen and molecular tests as well as local test provider results from both overseas and domestically. Documents were uploaded 24x7, sometimes at a rate of more than 1,000 per hour. CLEARED4’s managed service program reviewed the data in real time, facilitating the health management of all attendees in a safe and efficient manner.
Event teams could gauge progress prior to and during the event, optimizing the on-site testing resources needed at the venue with anonymized data from the CLEARED4 platform. After the event, the client was provided with detailed reports on usage, and a post-event survey for attendees to track any subsequent outbreaks. All this ensured the agreed health and safety protocols were strictly adhered to and that any potential risks were identified and mitigated.

CLEARED4 executed 16,344 test validations over the registration weekend, flagging 9 positive tests that had been registered as negative and catching numerous fake, doctored and made-up test results as well. The combined effort resulted in a COVID-free event, refusing access to potential outbreaks and a successful outcome for the client.
